monday.com Automation Setup
Generate a document automatically when something happens on your board - for example, when an item's status changes to Approved.
Choose where the document goes
Open the template in the editor and add at least one option in the Delivery tab. It decides what happens to each generated document:
- Upload to File Column attaches the PDF to the item
- Monday Updates posts it to the item's updates
- Collect e-signatures sends it out for signing
Without a delivery option, the automation has nowhere to send the document and every run fails.
Create the automation
- On your monday board, create a new automation.
- Choose a trigger - for example, When Status changes to Approved.
- Add the FlexiPage action Generate template document.
- Choose your template. The list shows every template on your account, so pick it by its title.
- Save the automation.
Each time the trigger fires, FlexiPage fills the template with that item's data and delivers the document.
The Automation Instructions icon in the editor toolbar shows these steps for the template you have open.
Subitems
Subitems have their own action. To generate a document for each subitem, build the template on the subitems board, start the automation from a subitem - for example, when a subitem's status changes - and add Generate template document from subitem instead.
Emailing the document
To send the document with monday's own email action, use two automations: one that generates the document into a File column, and a second that sends the email when that File column changes.
One automation isn't enough, because monday attaches files as they were when the automation started - before FlexiPage has added the document. The Tutorials menu in FlexiPage walks through the setup.
