E-signature
FlexiPage can send a generated document out for signature instead of just producing a PDF. You place signature fields in the template, point them at the record fields that hold each signer's name and email, and FlexiPage takes care of the rest: inviting the signers, collecting the signatures, and returning a signed PDF with an audit trail attached.
Signers do not need a FlexiPage account. They get a link, sign in the browser, and that's it.
Add signature fields
- Type
/in the editor and choose Signature. A signature box appears in the document. - With the box selected, open the Properties panel on the right and set:
- Signer name field — the record field holding that signer's name.
- Signer email field — the record field holding that signer's email address.
- Repeat for every signer. A two-party contract has two signature fields, each pointing at a different pair of fields.
The signer is a reference while you are designing. Nothing is resolved until the document is merged for a real record, at which point FlexiPage reads those fields and works out who is actually signing.
Signature fields that resolve to the same email address belong to the same signer. Put a signature box on page 1 and another on page 5 with the same email field, and that person signs both in a single session.
Add a signing date
Type / and choose Sign Date to place a date that is filled in automatically when that signer signs.
Set its Signer name field and Signer email field the same way you did for the signature box, so FlexiPage knows whose signing date to use. You can change how the date reads from the format option in the Properties panel.
Configure the delivery option
- Open the Delivery tab in the document editor.
- Add a delivery option and choose Collect e-signatures.
You can only add one e-signature option per document.
Options

Validity (days) — how long the signing links stay usable. The envelope expires after this many days and can no longer be signed. Defaults to 30.

How signers get the link — either:
- Send an invitation email from FlexiPage — each signer is emailed their own signing link.
- Store the signing link in a field — the link is written back to a URL or text field on the record, and no email is sent. Use this when you want your own platform automation to deliver the link. Only the first signer's link is written, so pick email invitations if there is more than one signer.

Upload signed document to — the attachment field that receives the completed PDF once every signer has signed.

Status sync field — a single-select field FlexiPage keeps in sync with the envelope. Create it with these exact options:
Sent,Partially Signed,Completed,Voided,Expired.
All signers are invited at once and can sign in any order. FlexiPage does not wait for one signer before inviting the next.
What happens on merge
When a document with an e-signature option is merged for a record, FlexiPage creates a signature request rather than delivering a plain PDF.
Your other delivery options still run — but they run on the unsigned document, at merge time. If you want a copy of the signed version in your database, that is what Upload signed document to is for.
Once the last signer has signed, FlexiPage:
- Builds the signed PDF and appends an audit trail page recording who signed, when, and from which IP address.
- Emails a copy to every signer and to you.
- Uploads it to the attachment field you configured.
- Sets the status field to
Completed.
Track sent documents
Open Sent Envelopes in the document manager to see everything you have sent out, with its current status.
From each envelope you can:
- Download envelope — get the signed PDF.
- View Audit — see the full activity trail: sent, viewed, consented, signed.
- Resend Envelope Invitations — email the signing links again.
- Extend Validity — push out the expiry date on an envelope that is running out of time.
- Cancel Envelope — void it. Signing links stop working and everyone is notified.
- Delete Envelope — remove it from your list.
